Australian Institute of Physics - SA branch Minutes of the meeting held at 6pm on Wednesday 20th October 2004 in room 201, Physics Building at the University of Adelaide. Present: Veitch, Samardzic, Shiell, Drake, Cockshell, Blankleider, Quinton and Campbell. Visitors: Shaun Manning, Mike Roach. Apologies: Brunger and Bouwknegt Minutes of Last Meeting: "Samardzic" was spelt incorrectly. Approved without any other corrections. Business arising from the minutes: - Public Schools Club: Veitch reported that it has been put on the heritage register and that everyone has been informed. Quinton congratulated Veitch for his achievement. - Exam wrap-up. Cockshell reported that SASTA does not want the AIP involved. She and Samardzic suggested that Veitch should unbook the room already arranged. Veitch wanted to know if Cliff Rothenberg had actually said this, and wondered if there was a misunderstanding that Veitch's action on this for the AIP had been done as a member of the SAC. Veitch said he would contact Cliff. Samardzic repeated that he should unbook. CHAIR'S REPORT (by Veitch): - Nothing to report (other than on items to come later). Tabled documents: - menu options for AGM dinner - Documentation (from Samardzic) concerning a dinner for the IEEE chief scientist. Pina Dall'Armi-Stoks wants to organise an AIP table for this. It was felt that, at $75, AIP members would not be interested and that the AIP should not subsidize it. Lots of different societies have been invited. SUBCOMMITTEE REPORTS: Student activities: Shiell reported that: - the last SPACED committee meeting had been held earlier that day. - He had informed SPACED that approval had been given for the relationship with the AIP. (Veitch noted that there had not been a quorum at the last AIP committee meeting to give this approval.) - The trip to Stockport will be held later. He asked if the AIP would be involved and if there could be AIP funding. Cockshell could not confirm the cost of booking a bus, so Samardzic undertook to ask Mike Roach about it. Shiell said that the bus could be filled. Campbell suggested that the AIP could pay the busfare for AIP members, so reducing the cost to SPACED. Veitch noted that this would include the AIP paying for SPACED members, but not members of the Maths society. Shiell suggested it be in the week after the exams. Samardzic suggested picking a number of dates. Shiell undertook to do this next week. Shiell and Manning left the meeting at this stage. TREASURER'S REPORT: Quinton tabled two documents: - the balance statement for the end of the financial year, showing a balance of $9179.01. - the first report for '04-'05, with $8827.26 still available. Quinton reported that he has sent all financial details to the Federal Treasurer and that auditing is underway. Cockshell presented another copy of the invoice from DEST. Campbell explained that he had been late in sending the cheque for this, but that it should have been received during the previous week. Quinton reported that the invoice from Union Hall has not been received. He noted that the balance exceeds that of the last financial year. Samardzic noted that there are still some bills to be presented, and Quinton noted that we still need to pay conference scholarships. Veitch congratulated Quinton on his work. SUBCOMMITTEE REPORTS: Education: There was no report as the education subcommittee was to meet after the current AIP committee meeting. SUBCOMMITTEE REPORTS: Meetings: - Joint ASSA/AIP meeting: Samardzic, Veitch, Quinton and Campbell made or referred to positive comments about the speaker. Campbell explained the difficulty faced by the ASSA in controlling Tony Beresford. - Michael Bromley: He may come in December. Campbell acknowledged making a mistake with Bromley's email address which had led to the lack of an answer from Bromley. This is now sorted out. - AGM: - Veitch reported that Prof. Teubner has agreed to give the after- dinner speech. He has asked for the topic and Veitch is to send him the suggestion made by Brunger. - We have a pencil booking for the Public Schools' Club on Wednesday November 24th. Veitch asked Drake to take over the organisation, starting with arranging the menu. The times chosen are: 6 pm: Drinks at the bar 6:30pm: Annual General Meeting 7:30pm: Dinner - The committee chose the menu options: Choice of Thai Coconut Pumpkin soup or Chicken Kebabs Choice of: Grilled Atlantic Salmon, Roast Beef or Backed chicken Fillet stuffed with Avacado and camembert cheese. (Note: Drake is to ask if a single vegan meal can be ordered in addition to these, or if the Roast Beef option will have to be forgone in favour of the vegan option.) Choice of Fruit salad or Death by Chocolate. Cheese and Fruit platter, Tea and coffee. The AIP will provide wine, on the basis of a red and white for each table of 8. - Campbell said that the number of people is usually 24-28. He undertook to email Drake with the number of people who booked for the dinner last year. - Veitch noted that we will be in the back room for both the meeting and the dinner. Veitch referred to the need to confirm the booking. 2005 COMMITTEE: Quinton is to contact Bruce Wedding to see if he will be on the committee and if he will be Vice-Chair. Mike Roach agreed to be Vice-Chair if Bruce does not agree. Quinton is also to ask Penny Hale to be on the committee. Campbell said that she is not on the list of members. Campbell clarified that the rules for conference scholarships now allow payment for all out-of-pocket expenses, including registration, for Physics conferences, which now do not have to be outside SA.
