Australian Institute of Physics, SA branch. Minutes of the committee meeting held at 6pm on Thursday August 14th 2003 in the tearoom of the Physics building at the University of Adelaide. Present: Veitch, Blankleider, Bouwknegt, Campbell, Canney, Cockshell, Samardzic. Apologies: Leinweber, Kalloniatis, Carter. Minutes of the last meeting: Corrections: - Canney referred to the question mark regarding the destination for an invoice. He said that it was for $500 from Adelaide Uni. for the Hollenberg lecture. He noted that it has been received. Veitch moved that the minutes be accepted, approved by concensus. BUSINESS ARISING FROM THE MINUTES: Veitch said the honorarium of $50 for the digeridoo welcome has not been paid. Canney said that two others were missing. Veitch informed Canney that Kalloniatis has a receipt from Shores. Veitch reported that he has done a draft budget. CHAIR'S REPORT: Veitch had nothing in particular to report, except for the items to follow in later reports, such as his work on meetings to help Kalloniatis. He confirmed in response to Bouwknegt that for the WIP lecture we should pay for food and accomodation but not the airfare. He noted that at the last council meeting, in discussion of special projects, he had suggested a lecture tour and a link to the WIP lecture tour. TABLED DOCUMENTS: Veitch tabled a document from SASTA showing the AIP entry in the Oliphant Science Award brochure. No change is required. He had bits and pieces from National Science week (noting that he will put the advert for the Chang-Diaz lecture on the NSweek web page). He reported receiving an email from RACI regarding joint meetings. Canney tabled a copy of the audit report for 2002, which was prepared by the auditors recommended by the national branch. TREASURERS REPORT: Canney distributed a statement to the end of July and details of expenditure up into this August. He noted that the 2nd quarterly GST payment was sent, but no money has been returned. There was some discussion about payment for the Malin lecture and sponsorship of the Hollenberg lecture, the latter being a "break-even". 2003 BUDGET: Veitch distributed copies, noting that he had based it on last year's budget, but leaving out the video camera and two lectures already covered. He warned that we could be asked to spend our reserve. Samardzic reported that she has been promised over $700 by National Science Week - $500 for the quiz plus $270 in compensation to schools for teachers taking time off to run it. She reported other expenses included $200 for advertising. Veitch said that the budget line for the quiz should be left in and include the advertising. Veitch declared that the budget was ready to send in, with consensus from the committee. SUBCOMMITTEE REPORTS: MEETINGS: Veitch read out a report from Kalloniatis. Samardzic reported advertising for the Chang-Diaz lecture which she intended to present at the National Science Week launch on the following day. It was decided to have a dinner prior to the lecture, with Kalloniatis to check on whether the speaker can come to it. It was decided to hold the Student Night on Thursday 11th October, with Campbell to write to Heads of Departments about it. Campbell floated the idea of allowing the University of Adelaide to have two speakers if one is not available from UniSA. The joint meeting with the AIB is still open. Veitch detailed possible speakers. It was decided to leave it until next year as we don't need any more lectures this year. The venue for the AGM was discussed, with the choice being between the Public Schools' Club and the Chapel Cafe. It was suggested that Prof. Angus Hurst be the after-dinner speaker and Veitch is to ask him. Veitch said he has organised the WIP lecture on Wed. 17th Sept. and has told Pina. He is to ask the dept. at Adelaide for a nomination for the Claire Corani award. Samardzic noted that she is to fix up MOU (?). Veitch reported that Halina is coming to give a dept. seminar at lunch time. He expressed concern about the abstract for her public lecture. Veitch said he has been contacted by the RACI, which would like a joint meeting on lasers. He had suggested October, but December or early 2004 would be better. The RACI meet on the first Monday of every 2nd month, with a branch meeting from 6-7pm, then a dinner, then the speaker. Suggested speakers are Mark Buntyne and Warren Lawrence. Joe Shapter will be president next year, and has an interest in lasers and nanotechnology. Campbell mooted Jamin Quinton as a speaker, and Bouknegt Steve Lincoln. Veitch noted the need to avoid synthesis as the subject, and said he would reply, but giving early next year as the time. He suggested leaving the style of the meeting to the RACI. SUBCOMMITTEE REPORTS: EDUCATION: Samardzic said the time for speakers at the careers night is still to be worked out and that she will contact Carter about it. She listed speakers as Dr Eva Bezac, Andrew Dowdy, Norm Jones, Mike Roach (teacher) and Anne-Marie (research leader). Each person is to give a talk of 5-10 minutes, followed by pizza and soft drinks. The budget is $150. Campbell warned that it is too difficult for one person to collect the pizzas, if the same source as last year is used, but he could do it if one other person could help. The event will be in the Upper refectory from 6-8, and there will be dividers for posters. Samardzic reported that the Quiz will be held on the Friday of the following week, from 2-5pm in the Equinox. Campbell is to change the location on the web page. Samardzic and Cockshell discussed details of bookings and ringing around to get more teams if necessary. Samardzic is to advertize the quiz on a radio interview (as well as the public lecture). Cockshell is to get the shield back. She told Veitch that she has certificates for him to sign. Samardzic reported that the subcommittee will do the exam wrap-up. Veitch said he that the lecture theatre is booked for this, and advertising is being done by SASTA. It is all organised so there is nothing that Samardzic needs to do. SUBCOMMITTEE REPORTS: AWARDS: Blankleider is to run a selection between the two nominations for the Gold Bragg Medal (from the University of Adelaide and the Northern Territory University). It was decided that the selection be done by Blankleider and an experimentalist, and that Michael Brunger be approached to be the experimentalist. Veitch is to email Michael about this. SUBCOMMITTEE REPORTS: SCIENCE POLICY: Samardzic, Veitch and Bouwknegt are to meet on Thursday 11th at 6pm. ANNUAL GENERAL MEETING: Suggested venues were the Chapel restaurant, or the Stonyfell winery in Pirie St. (which has function rooms and good food), or the Public Schools' Club. Bouwknegt noted that the Chapel is bad for a speaker. Veitch is to find out about the Stonyfell. A subsidy for all members was considered, but it was decided to keep it to just students. Thursday November 27th was chosen as the date. Veitch undertook to ask Angus Hurst to be the speaker. Samardzic suggested Margaret Folkard as a backup. ANY OTHER BUSINESS: Nominations for "Science Meets Parliament": (This will be on Tuesday October 14-Wednesday 15th. Bouwknegt said the deadline is 30th September, but approval from the national branch is needed before then if they are to pay the registration. They will not pay anything else and we are not supposed to use branch money for this. Samardzic said that she is looking at going. Veitch said that he will talk to the executive about funding from the local branch. Canney reported that he will stand down from the committee next year, but will work as Treasurer until the AGM if necessary. He will be away for the whole of September. Veitch noted that we need new committee members, and asked that some be identified at the next meeting. DATE OF NEXT MEETING: This was set for Wednesday 1st October. Laurence Campbell 26-8-03
