Australian Institute of Physics, SA branch. Minutes of the committee meeting on Sunday 16th February, held at the home of Olivia Samardzic. Present: Samardzic, Veitch, Cockshell, Hale, Kalloniatis, Canney, Carter, Bouwknegt and Campbell Apologies: Leinweber Minutes of the last meeting: - Veitch said he was not present at the joint meeting with biology, so could not have reported on it. - Bouwknegt had said we should "now" (not "not") get a video camera. - Bouwknegt said that his request for suggestions was in relation to the report on the national web page rather than the list of scholarships. (Veitch asked if the list of scholarships has started and will ask about this list at the national meeting.) - Samardzic noted that Adam Weigold was suggested for the "careers night", not the AGM. BUSINESS ARISING FROM THE MINUTES: The decision to buy a video camera was almost taken, but it was decided to let Andrew Stanko videotape the next meeting so that we see how it goes. There was some discussion of whether the camera should be digital, how much it should cost (from $800-$1800) and the situation regarding GST. Canney reported that there is a need to clarify the GST situation. CHAIR'S REPORT: Veitch said he is going to the National executive meeting on 20-21st Feb. There is a long agenda, but nothing contentious. We have no motions, but he could put in a motion without notice. He undertook to clarify the issue that membership should be free for all 3rd-year students, ie, even if they are already AIP members. (Bouwknegt suggested raising the web page and advertising. Hale suggested a list of conferences. Kalloniatis and Veitch noted that the latter requires action by the conference organisers.) Veitch said he had tried to get scholarship mailing lists. TABLED DOCUMENTS: - Veitch tabled a letter from SASTA seeking our sponsorship for the Oliphant awards, and asked if we continue by providing $250 + GST. Campbell asked if the GST could be avoided by the AIP giving a cheque directly to the student. Cockshell is to ask about this. It was decided to continue, at a level at least the same as last year. - Veitch tabled the minutes from the national executive meeting in 2002. Bouwknegt noted that these have been on the web page for a year. TREASURER'S REPORT: Canney tabled the current position up to 31st January 2003. There was not a lot to report. Most expenditure is in accordance with budget, but with $1800 for the video camera not spent. Veitch noted that we need a provisional budget for this year. Kalloniatis reported that the digeridoo and astronaut meetings should go ahead. Veitch said to keep the line items from last year, and Canney confirmed that he will not apply for them again. He noted that there is $4000 left over. Bouwknegt cautioned against giving the impression of overbudgeting. Canney listed the 2002 meetings for which $6000 was requested. Bouwknegt compared this with $30000 for New South Wales, noting that they spent a lot on student registration for the Congress. Canney said that he needs budget requests from the subcommittees. Bouwknegt suggested waiting until Veitch atends the national council. Veitch asked for a copy of the previous budget and Bouwknegt undertook to email it to him. STRATEGIC PLANNING: Veitch asked what we should do this year. He suggested we need a calendar as to when events occur, for such things as having advanced notice for the Quiz. He raised the question as to whether it should be in National Science Week. Samardzic said it should be, as it would not receive support otherwise. Bouwknegt noted that it did not receive NSWeek support last year. Veitch suggested getting the date for NSweek, then deciding if it is a good time for schools to attend the Quiz. Cockshell suggested that it will be in August. Veitch asked her to find out the dates. Samardzic noted that NSweek lasts longer in SA. Kalloniatis reported that an astronaut (Franklin Chiang-Diaz) will be here in NSweek. Samardzic said an astronaut would be here for 16th-18th July, for the Space School. Veitch asked Samardzic to find out the dates for the WIP tour. Bouwknegt advised to insist that this be in NSweek. Veitch undertook to ask about the WIP dates at the National Council meeting. It was suggested that he could refer to Bouwknegt's complaints about the WIP tour which are in a report already made. Veitch asked about the Student Night. There is a worry about diminishing attendance, but it was noted that it was better last year. There was a consensus to continue to have the Student Night. Campbell suggested that if there is no UniSA speaker, there could be both a theoretical and an experimental talk from Adelaide. The time for the Careers night was discussed. Campbell said he had received a complaint from a school that they received the notice too late, due to it being held on the first or second day after the holidays. Cockshell suggested 19th September as a suitable date. Canney asked about the list of events from last year. Kalloniatis confirmed that he would continue as meetings convenor, but would like someone else to take over about the middle of the year, noting that it should be easier this year. He suggested a possible lecture by Josef Speth on modelling of financial markets in the first week of March. The public lecture on the digeridoo will be on 1st May. There will be an astronaut, associated with Rod Boswell, who could talk on the Friday in the interval 17-24 August, although we would prefer Thursday 21st August. Plans for this are not so big this year, as WISER is not so enthusiastic. The lecture by Speth was not considered to be suitable for a public lecture, but rather a lecture for the educated public. It was decided to have it on Thursday 6th March in the Kerr Grant. Kalloniatis undertook to book the lecture theatre on the following day. Bouwknegt raised the need for a public lecture in April and Veitch undertook to ask if Prof Prescott would give a public lecture on "Mungo Man", on either 3rd or 10th. April. Carter requested support for a student event (a sausage sizzle in the Optics courtyard) in the 1st or 2nd week of March. There was consensus to support this, and for Veitch's suggestion of a $200 budget. Campbell made the point that people from other Universities should be involved. It was decided to ask 3rd and 4th year students plus SPACED members, and to start at 6:30pm to allow time for travel from Flinders. SUBCOMMITTEES: Composition of these is: Science policy committee: Veitch (convenor), Bouwknegt and Samardzic Education: Samardzic (convenor), Cockshell and Hale (plus Mike Roach) Meetings: Kalloniatis (convenor), Carter and Hale Awards: Blankleider Recruitment and retention:Leinweber Web page: Bouwknegt (overall) and Campbell (day-to-day updates) Veitch undertook to ask Blankleider to define the responsibilities of the Awards convenor. Kalloniatis described the one and only meeting of the Recruitment and retention subsommittee, which had also included himself and Waseem Kamleh. Kamleh had wanted to repackage the membership information for various groups, such as DSTO and teachers. Veitch concurred that a package is the way to go. He noted that there was an earlier culture against the AIP, but not now, and suggested targeting DSTO. He undertook to ask what is happening about this at the national level. Kalloniatis noted an advert in the Physicist (Nov/Dec) for workshops which should be useful to us. It was noted that the jobs section of the web page is obsolete and that Leinweber was to talk to Ross Young about updating it. Bouwknegt noted that it should not be a departmental matter, and Veitch said that he would look for a replacement. ANY OTHER BUSINESS: Kalloniatis raised the possibility of a more professional supper being put out after meetings. Campbell noted that there had been a particular problem with the supper after the WISER public forum because he thought he was putting out a "supper", but found out later from a web page that this had been labelled a "reception" for an associated conference. Veitch suggested that the cost of professional supper platters be ascertained. DATE OF NEXT MEETING: This was set for 6pm on Thursday 27th March, 2003
