Australian Institute of Physics, SA branch. Minutes of the committee meeting on Thursday 4th July 2002, held in the tea room of the Dept. of Physics and Mathematical Physics at the University of Adelaide. Present: Hale, Canney, Bouwknegt, Cockshell, Kalloniatis, Blankleider, Samardzic and Campbell. Apologies: Carter and Veitch. Minutes of the last meeting: there were no corrections. Business arising from the minutes: Bouwknegt asked for feedback on the Science Policy document, from Cockshell in particular. He needed comments by the next day, as the document is to be discussed at the Congress. CHAIR'S REPORT: Bouwknegt said there was nothing to report as he had been away, except: - there is no budget yet (but supposedly it will be decided at the Congress). - The missing treasurer's books have been found. - There is one request for a student travel scholarship which has been approved. - News from the congress is that the budget made out on June 6th has a shortfall of $25000, but there are 30-90 abstracts of people who haven't registered. TABLED DOCUMENTS: Bouwknegt tabled a National Science Week brochure, commenting that it is an announcement of events, with no mention of financial support. Samardzic said she had filled in a form for the Quiz, and expected to receive an email later giving some financial support. Bouwknegt gave the interval for the SA National Science Week as 9th-30th August, so there will be no support for the WIP lecture. TREASURER'S REPORT: Canney confirmed that he is in possession of the lost books. He distributed copies of an expenditure report for the current (AIP financial) year and a budget reconciliation for 1/4/02-30/6/02. We have received no income from the national body, so our reserves have gone down by $2000, leaving a balance of $3350. Bouwknegt said he would inform Cathy Foley that the books have been found. Canney noted that we may need to reevaluate the budget due to some meetings not going ahead. Bouwknegt noted that the national branch is behind on its work. Canney reported that the invoice for Matthew Bailes' expenses has been retrieved, but there is a problem with how to share it with ASSA. Campbell said it would not be fair to pay the full cost on the understanding that ASSA pay the full cost for the next joint meeting, because Matthew's arrangements had made his visit relatively cheap. He suggested it would be simpler to send that ASSA an invoice for half the amount, given that the ASSA is not involved in claiming back GST. Canney said he would pay it and then wait until the next joint meeting to sort it out. He noted that he will be away from 16th July to 4th August. SUBCOMMITTEE REPORTS: MEETINGS: Bouwknegt commented that Kalloniatis had been too hard on himself in his report prior to the meeting, and this was supported by others. Kalloniatis said NASA will not send an astronaut this year, but had offered one for January. Professors Thomas and Chian have arranged a panel discussion on "Perspectives in Space Environment Research" on July 24th. which will be open to the public, with representatives from Asia, Australia and the Americas. This is being organised by WISER and the NITP, but the AIP name can be attached with no strings. Kalloniatis suggested making a contribution if we join in. The venue has been changed from the Scott Theatre to Union Hall and there will be no reception. Bouwknegt said to advertise it just to members. Kalloniatis said he has booked the venue. Campbell offered to put on a supper if it is wanted. Kalloniatis confirmed that the digeridoo lecture cannot be this year, and that Carter says that there is no problem with the funding she has arranged if the event is delayed. He will push for it to occur in March next year. The joint meeting with the Australian Institute of Biology is now proposed for the first Tuesday in November, but he has had no reply from Andrea Gerson. John Findlay-Jones is giving her access to information on the biological applications of the synchrotron and the abstract is to be reformulated. Bouwknegt asked if John could give the talk. Kalloniatis said that John is not prepared to do it, but is coordinating with Andrea Gerson and another possible speaker. Campbell reported that Steve Cook had told him on the previous evening that he was working on getting a spearker for the joint meeting with the ASSA, and is currently waiting for a reply from David Malin. There was some discussion of the workload on Kalloniatis. Bouwknegt commented that Kalloniatis is the convenor and others should share the work. Kalloniatis noted that Carter had worked hard. Campbell reported that Adelaide Uni. had replied about the student night, the Univ. of SA had not and Flinders had said that they didn't have a student speaker. Blankleider disagreed with the latter and undertook to follow it up. Kalloniatis summarised the upcoming meetings as the panel in July, the student night and the president's visit in August, the WIP lecture in September, the joint meeting with the ASSA in October and the joing meeting with Biology and the AGM in November. SUBCOMMITTEE REPORTS: EDUCATION: Samardzic gave 2-5pm, 30th August as the date for the Quiz and said it is coming along well. Hale handed over 4 "table quizzes" to Samardzic. Samardzic said there would also be a professional development session for teachers at 6-8 pm on the same day. She has put in a form to National Science week for the Quiz and has asked verbally for $500. (Bouwknegt noted that it is a lot of work to get the promised sponsorship from the Universities, and that they want an invoice.) Samardzic said there will be an exam "wrap-up" on 8th November in the Kerr Grant. Cockshell said there will be a meeting on 14th August in the SASTA office. Samardzic reported that the Space School is all organised for 17-19th July. They have sponsorship from DSTO and can afford to send 2 students to the US space camp. SUBCOMMITTEE REPORTS: AWARDS Samardzic asked Campbell to ask John Thomas about the Claire Corani award, as in the past the Head had said there were no candidates when there were. Campbell undertook to do this. SUBCOMMITTEE REPORTS: SCIENCE POLICY COMMITTEE: Bouwknegt noted that the committee hasn't met and that no one has read the documentation. It was determined that the subcommittee is Samardzic and Bouwknegt, as Canney resigned when he became Treasurer. PRESIDENT's VISIT: Bouwknegt gave details of the visit by the AIP President, John O'Connor: - he will be here for the whole day on August 8th. - it is desirable that he meet with Heads of Departments, attend a committee meeting, talk to AIP members, talk to students and go out to dinner. (It will be hard to get students, so Bouwknegt will ask Carter about organising through SPACED). - The purpose of the visit is to get the national body in contact with issues, by talking to members and non-members. (Bouwknegt noted that there is still no sign of the proposed advertising material. He said (in reply to Samardzic) that the proposed new logos are on the web, but there is nothing on the new corporate image.) Bouwknegt decided to have just a committee meeting (rather than a general meeting) for the president to attend, and undertook to make a list of issues via email. He suggested a meeting with students and members at the end of the afternoon. Samardzic suggested asking members to the dinner. ANY OTHER BUSINESS: It was decided to hold the AGM on November 28th. As there was good feedback from last year, the Public Schools' club was chosen as the venue, but because of the cost for students, Hale is to investigate the RACI venue. It was decided to book John O'Connor in at the Pacific International, at $125. Margaret Folkard and Eric Weigold were suggested as possible after-dinner speakers. Bouwknegt concurred with these, but undertook to email absent committee members to give them a change to make suggestions. Kalloniatis gave his time overseas as 6th July to 4th September, noting that the next meeting will be on 8th August. Hale suggested 6th September for the Careers night, but as this clashed with the Oliphant Science awards, the date was changed to Tuesday October 8th. She requested suggestions for people to speak at the careers night. Cockshell agreed to be on the panel as a teacher. Campbell suggested Ken Smith at Scantech and undertool to send his email address to Hale. Samardzic undertook to ask Norman Jones of Coherent. Hale said she will send focus questions to the presenters beforehand, eg on career path, choice to to Physics and expectation for five years ahead. She suggested having questions ready in case the audience don't ask. She confirmed that Todd Maddern has been asked to be a speaker. DATE OF NEXT MEETING: This is on Thursday August 8th.
